What may go into it: Only after identifying details are removed

Remove names, contact details, exact addresses and anything else that identifies a person before you paste. If the job cannot be done once those are gone, use a controlled route instead.

Fill in the blanks

Type into each box. The prompt on this page fills itself in as you type, and the highlighted parts show where your words land. Nothing you type here leaves your phone or computer until you copy the prompt or open a tool with it.

The prompt

Answer in [ANSWER LANGUAGE], even if the material below is in another language.

Write a short message that goes back to the people who attended a community meeting. It will be read aloud as well as sent, so write it to be spoken.

Rules:
1. Use no personal name, not even a first name. Say "the organisers", "a participant", "the health office".
2. Use no direct quotes. Write what was agreed, not who said what.
3. Promise nothing the notes do not contain. Where the notes do not say who will do a thing, write that it is not decided yet.
4. Short sentences, plain words. No jargon and no abbreviation a first-time reader would not know.
5. Where a date, a place or a figure is not in the notes, leave a clear gap marked [ADD BEFORE SENDING] instead of filling it in.

Give me one message, in this order, with no heading longer than one line:
A. What the meeting was about, and how many people came if the notes say so, in two or three sentences.
B. What was decided. One short sentence each.
C. What happens next, including the date of the next meeting, and what is still open.
D. How to raise something the meeting missed, in two sentences, using the contact line I paste below.

Notes:
[PASTE YOUR NOTES]

Contact line for the last paragraph:
[HOW PEOPLE CAN REACH YOU]

Opens a new chat in that tool with this prompt already typed in. Fill in every box first, and read the line at the top about what may go into it.

20 minutes · Gives you a message to send · Works on a phone · How much to paste at once: Paste the notes of one meeting only, three pages at most, and if the date of the next meeting you wrote down is missing from the message, the paste was cut off.

Read the answer against the checks below before you use it in anything that leaves your organisation.

What to fill in

  • [ANSWER LANGUAGE]: name the language the community reads and speaks. Your notes can stay in the language you wrote them in.
  • [PASTE YOUR NOTES]: the meeting notes with personal names, phone numbers and exact addresses taken out first.
  • [HOW PEOPLE CAN REACH YOU]: one already public channel, for example an office number, a shared inbox, or the name of a place people can come to.

Before you trust the answer

  1. Search the message for any personal name and take it out before you send it.
  2. Check every promise in section C against your notes. Anything the notes do not contain comes out, or is written as not decided yet.
  3. Read it aloud once. If a sentence needs a second breath, split it in two.

When it goes wrong

It will smooth an unresolved argument into an agreement, so the message tells the community something was decided that was not.
