What may go into it: Only after identifying details are removed

Remove names, contact details, exact addresses and anything else that identifies a person before you paste. If the job cannot be done once those are gone, use a controlled route instead.

Fill in the blanks

Type into each box. The prompt on this page fills itself in as you type, and the highlighted parts show where your words land. Nothing you type here leaves your phone or computer until you copy the prompt or open a tool with it.

The prompt

Answer in [ANSWER LANGUAGE], even if the material below is in another language.

Write one section of a donor report using ONLY the notes below.

Rules:
1. Never invent a number, a place, a date or a beneficiary. If a figure is missing, write [NUMBER NEEDED] and carry on.
2. Copy every figure exactly as it stands in the notes. Do not round it, and do not replace it with a phrase such as "about 200".
3. Do not describe an activity that is not in the notes.
4. Report a target that was missed as a missed target, with the reason from the notes. Do not present it as a partial success.
5. Where two notes disagree, write both and say they disagree. Do not merge them into one sentence.
6. Plain language, short sentences. No promotional adjectives. Maximum [WORD COUNT] words.

Structure:
A. What was done in this period.
B. Results against the indicator, answered as the indicator is written: [PASTE THE INDICATOR WORDING].
C. What did not go to plan, why, and what changes next period as a result.
D. A list of every [NUMBER NEEDED] you wrote, so I can fill them in.

Notes:
[PASTE YOUR MONITORING NOTES]

Opens a new chat in that tool with this prompt already typed in. Fill in every box first, and read the line at the top about what may go into it.

25 minutes · Gives you short sections · Works on a phone · How much to paste at once: Paste the notes for one reporting period only, roughly four pages at a time. If the draft stops covering the last activity in your notes, the answer was cut off, so split the notes in two and send the prompt twice.

Read the answer against the checks below before you use it in anything that leaves your organisation.

What to fill in

  • [ANSWER LANGUAGE]: Arabic, Kurdish Sorani or English, whichever the donor reads.
  • [PASTE THE INDICATOR WORDING] exactly as it appears in the grant agreement.
  • [PASTE YOUR MONITORING NOTES], with participant names and identifying details removed.
  • [WORD COUNT], usually the limit the donor template sets.

Before you trust the answer

  1. Fill in every [NUMBER NEEDED] from your own records before the text goes anywhere.
  2. Compare every figure in the draft against your notes. A rounded number is a wrong number here.
  3. Read section C aloud. If it reads as an excuse rather than a fact, rewrite it yourself.

When it goes wrong

It will round a figure from your notes, so "187 participants" reaches the donor as "about 200".
